What should an Airbnb house manual include?
Start with the Wi-Fi password, then explain how to get in, where to park and how the heating, air conditioning, TV and appliances work. Say where the fire extinguisher and safety devices are, how to sort the rubbish, the house rules and what to do at check-out. Use short sentences and step-by-step instructions.
How do you write the house manual in English?
Write the Italian version first in simple sentences, then translate it keeping the same structure. Or use a digital guide with automatic translation: you write once in Italian and each guest reads it in their own language, among those you turn on. Still check the key terms, such as times, addresses and button names.
Airbnb house manual example, in Italian and English
The example is written for a made-up flat, Appartamento Glicine: a second floor in the town centre, four beds, a street in a limited traffic zone. It is complete: you can copy it and change names, times and places, or use it as an outline. The English version has the same sections in the same order.
The only parts in square brackets are your phone number. The key box code is left out on purpose: it does not belong in the manual or in the guide, so send it privately on arrival day. There is no PDF to download: you copy the text and paste it wherever you need it.

What to put in the house manual
Airbnb’s Resource Center suggests putting the Wi-Fi password first, because it is the first thing guests ask for. After that, follow the order in which questions come up during the stay.
- Wi-Fi: network name and password, written as they appear on the phone, and where the router is.
- Arrival and access: check-in time, where the keys are, floor and door number. Send the key box code privately: there is a message template in Holiday home self check-in instructions.
- Parking: where to leave the car and, if there is one, how to avoid the limited traffic zone (ZTL).
- Heating and air conditioning: where the thermostat and remotes are, the suggested temperature and what to switch off when going out.
- Appliances and TV: washing machine, dishwasher, hob, oven, coffee machine. For each one, numbered steps.
- Safety: where the fire extinguisher, smoke detector, first aid kit, fuse box and main water tap are, plus 112.
- Waste sorting: which bin for what and where the bags go. Days and colours change from one town to the next: copy your town’s instructions.
- House rules: the few that matter, written kindly. The full template is in Holiday rental house rules to print.
- Check-out: the time and the three or four things to do before leaving.
Appliance instructions are the part guests open most often. Four tips to write them well:
- One appliance, one numbered sequence: one step per line.
- Use the words and symbols guests see on the buttons: “Eco”, “Start”, the snowflake.
- Say where something is before saying how to use it: “in the drawer under the oven”.
- Add what to do if something goes wrong, for example when the power goes off.
The manual is the practical part of the welcome book: the book welcomes guests and tells them about the area, the manual explains how the house works. You can keep them together or apart.
Where it goes on Airbnb (and its limits)
Airbnb has a dedicated space for the house manual. According to Airbnb’s help page, checked on 29 October 2026, you can write it once your listing is complete, and only guests with a confirmed reservation can access it. Airbnb’s Resource Center adds that guests open it from the app, whenever they want.
Airbnb’s screens change over time: for the exact path in your account, follow the help page in the sources. LOQY is not connected to Airbnb and has no integration with Airbnb.
The limits show when not all your guests come from Airbnb:
- It stays inside Airbnb: guests who book on Booking or directly with you do not see it.
- It opens from the reservation: there is nothing in the house to scan to find it again.
- If you use several channels, every change has to be copied by hand into the texts you send other guests.
One manual for Airbnb, Booking and direct bookings
With a digital guest guide you write the manual once, on a web page guests open from a link or a QR code, with no app. The same link works for every channel.
- Create your account and the property page on LOQY. The Free plan covers one property, with no credit card.
- Paste the sections of the manual into the page fields, as in the table below.
- Send the link in the pre-arrival message: on Airbnb, on Booking and by email or WhatsApp to guests who book directly.
- On Airbnb, keep the essentials in the house manual, such as Wi-Fi and access, and say the rest is in the guide.
- Print the QR code and put it by the entrance: guests in the house find the manual without looking up the reservation.

The instructions are text: the page has no photo for each appliance. If you have the manufacturer’s booklet, on the Pro plan you attach it as a PDF to the appliance’s entry. When you change something, the page updates straight away for every channel and the printed QR code stays the same.
The Free plan includes one property, the basic information and the QR code. The Pro plan costs €10 a month or €90 a year, VAT excluded, with a 7-day trial and no card: if you do not add a card, you go back to Free. It adds unlimited properties, translations, additional information, PDFs, local tips and the gallery. Frequently asked questions
- Who can see the house manual on Airbnb?
- According to Airbnb’s help page, only guests with a confirmed reservation. People looking at the listing before booking do not see it, and neither do guests who come from Booking or book directly. They need a link or a QR code.
- Should the house manual be printed?
- It is up to you. A copy in the house helps guests who do not have their phone to hand, but on paper every change means reprinting. A simple approach: a short sheet by the entrance with the QR code, and the full manual in the digital guide, where you update it without reprinting.
- Can I use the same manual for Booking?
- Yes, as long as it does not live only inside Airbnb. Airbnb’s house manual stays on Airbnb and Booking guests do not see it. Copy the text into a digital guide and send everyone the same link in the pre-arrival message, on Booking as on Airbnb.
- How long should it be?
- Long enough for guests to find Wi-Fi, access and check-out quickly. Airbnb’s Resource Center recommends keeping it short and easy to understand. A numbered sequence per appliance works better than a long paragraph, and leave out anything guests will not use.
