Hotel welcome book: the digital QR code in the room

A hotel welcome book is the page that replaces the printed compendium and the folder in the room: Wi-Fi, breakfast and restaurant times, services, reception contacts, rules and check-out. Guests open it by scanning a QR code, with no app. Here is what to put in it, where to put the QR codes and how to keep it up to date in several languages with LOQY, without changing the work at reception.

What should an in-room hotel QR code include?

The in-room QR code should open a page with Wi-Fi, breakfast and restaurant times, hotel services, reception contacts, useful rules, tips about the area and check-out instructions. Because it is digital, you update the page from one dashboard and guests read it in their language, without reprinting the compendium.

How do you replace a printed hotel compendium?

Move the compendium’s contents into a digital guide, print a QR code for every room and for the shared areas, and update the information online when times or services change. Guests open it on their own phone with no app, and you can keep a courtesy paper copy for anyone who prefers one.

From the paper compendium to an in-room QR code

The printed compendium, or the folder in the room, holds the Wi-Fi, the times and the services. It works until something changes: breakfast moves by half an hour, the spa closes on Mondays, the Wi-Fi password is renewed. Every change means reprinting and replacing the sheet in every room, and anyone with the old copy keeps reading that.

The compendium is usually in one or two languages. A guest who does not read Italian calls reception with the same questions: the password, breakfast time, how to get to the station.

With one page the text lives in one place. You change it from your account and the QR code already in the room stays valid: the next scan shows the new version. Guests who prefer paper can keep a short courtesy sheet with the essentials; the rest lives on the page.

The comparison between printed sheets and a digital guide is in LOQY vs printed sheets.

What to put in a hotel welcome book

Start from the questions that reach reception. The table says what to write and where it goes on the property page in LOQY.

Tips about the area are text and links you publish. LOQY does not handle deals or commissions with local businesses.

One page for the whole hotel is enough in almost every case: breakfast, Wi-Fi and rules are the same in every room, and you print the same QR code. Differences between rooms go on the same page. On the Pro plan you can give a room its own additional information entry. LOQY has no section per room: if a room really stands on its own, you create it as a separate property. The Free plan covers one property, the Pro plan has no limit.

Simple, without changing how you work

In a hotel LOQY does not replace the property system and it does not change check-in. Reception keeps working as it does today. The page answers the repeated questions, so the desk has more time for the person in front of it.

  • Guests open a page from the QR code, in the browser, with no app and no account.
  • You update the text from one dashboard, including remotely. The printed QR code does not change.
  • On the Pro plan the guide is translated into the languages you turn on. Guests pick the language on the page.
  • It is not a property system: it does not assign rooms, it does not take bookings and it does not connect to a channel manager.
  • It does not take in-room orders and it does not sell extras. There is no shop, and no commission on tips.
  • It does not collect guest documents and it does not send data to the police. It is not a compliance tool.

Many hotel guides are suites with a property system, orders and sales. LOQY is one page, at a flat price. The prices other vendors publish, with the date we read them, are in Guest guide apps. LOQY is a digital guest guide, and for a hotel the steps are these:

  1. Create your account and the hotel page. The Free plan covers one property, with no credit card.
  2. Fill in Wi-Fi, breakfast, services, rules, contacts, check-out and useful numbers.
  3. Download the QR code as a PDF and print it for the rooms, reception and the breakfast room.
  4. When a time changes, you edit it in your account: the page updates and the QR codes already up stay valid.

Where to put the QR codes in a hotel

One QR code opens the guide for the whole hotel. You print it as many times as you like and put it where guests stop or wait.

  • In the room, on the desk or the nightstand, in place of the compendium or next to a short courtesy sheet.
  • At reception, on the desk: for people arriving and for anyone who is not in a room.
  • In the lift and in the corridors, where people wait.
  • In the breakfast room and the restaurant, for times and the menu.
  • Next to the spa, the car park or the transfer point, if those times change.

Placement, size and printing, point by point, are in Where to put the QR code for guests.

No. Guests scan the QR code with the camera and the page opens in the browser. They do not download an app and they do not create an account.
Can we use our logo and our colours?
On the Pro plan you choose the page colours from the available themes. The hotel logo and branding made for you are not on the Pro plan: they are part of a custom quote, with dedicated onboarding and priority support. Write to support@loqy.info.
Does it connect to our property system?
No. LOQY does not connect to a property system, a channel manager or a booking system. It does not assign rooms, it does not take in-room orders and it does not sell extras. The guide is a page you update and that guests open from the QR code.

The language you write the guide in is Italian. On the Pro plan you can turn on 15 more: English, French, Spanish, German, Greek, Swedish, Danish, Finnish, Japanese, Simplified Chinese, Korean, Dutch, Polish, Czech and Russian.
