How do you make a welcome book in Canva?
Open Canva, search for templates such as welcome book or guest guide, pick A4 or A5 and replace the text and photos with your property’s. Export a PDF to print or share. Every change needs a new export and, if you printed it, a new print run.
Is a Canva welcome book or a digital guide better?
Canva is strong for the layout and for a printed poster or cover. For information that changes, such as Wi-Fi and times, a digital guide is more practical: it updates online and, on the Pro plan, it is translated. A common setup is a Canva poster with the QR code that opens the guide.
How to create a Canva welcome book in 5 steps
Five steps are enough for a booklet or a poster. There is no LOQY file to download: the text to copy, in Italian and English, is in the holiday home welcome book. You do the layout in your own Canva account. The two tools stay separate.
- Search for a template. In Canva type welcome book or guest guide and pick an A4 or A5 size. If an element is Pro, at download a free account can buy a licence for that element, move to a paid plan, or download a watermarked draft.
- Replace the text and photos with your property’s. Remove the sections you do not need.
- Keep the cover, the photos and the welcome message in the file. Wi-Fi, times and house rules, which change, live in the guide already on the Free plan. Local tips, with a link to the map, are on Pro.
- Export a PDF. To send it to a phone, use PDF Standard, at 96 dpi, meant for text and graphics. To print, use PDF Print, at 300 dpi. Compressing the PDF is reserved for paid plans.
- Print the poster or send the file. What you downloaded is a copy on your device: the next change needs a new export and, if you printed it, a new print run.
Pros and cons of a Canva welcome book
Canva is handy for the layout: you pick a template, change the photos and the type, and print a cover that looks like the house. The limit shows up when a detail changes, when guests read another language, or when you have more than one property.

Canva and a QR code, together
One setup keeps both tools: a poster or a cover laid out in Canva, with the LOQY QR code. The layout stays printed. Wi-Fi, times and rules live on the page, where you update them without touching the poster.
You lay the poster out in your own Canva account. You create the page the code opens in LOQY.
- Create your account and the page. The Free plan covers one property, the basic information and the QR code, with no credit card.
- Paste the booklet text into the page: arrival, Wi-Fi, rules, check-out.
- Download the QR code as a PNG from the dashboard and upload it into the design. Canva accepts PNG and JPEG files you upload: on a free account the upload space goes up to 5 GB, and an image stays under 50 MB. An imported PDF becomes an image on an A4 page, a poor fit for a code someone has to scan.
- Leave the code whole, with a white margin around it: a cropped code will not scan.
- Export the poster as PDF Print and print it. The spots in the house where it works, from the door to the room, are in Where to put the guest QR code.
Canva has its own code generator and describes those codes as static: the address is fixed when you create it, and changing it means a new code and a new print run. The LOQY code points at the address of the property page. You change the text in the digital guest guide and the poster on the wall stays valid.
Pro costs €10 a month or €90 a year, VAT excluded, with a 7-day trial and no card: if you do not add a card, you return to Free. It adds translations of the guide, so the poster can stay in a single language. For several properties with dedicated onboarding, write to support@loqy.info and ask for a custom quote.
Frequently asked questions
- Are Canva templates free?
- Many templates open on a free account. If the design contains Pro elements, at download Canva asks you to buy a licence, move to a paid plan, or download a watermarked draft. Check the template before you fill it with your house’s text.
- Can I put a QR code in a Canva design?
- Yes. Download the QR code as a PNG from LOQY and upload it into the design’s files. Leave it whole, with a white margin, large enough to scan. Canva’s generator makes static codes: if you change the address, you need a new one and a new print run. The LOQY code points at the property page, so you update the content without changing the poster.
- How do I share the PDF with guests?
- Download the PDF and send it in the message before arrival, or print it. It is a copy: if you later change a time, that file stays as it was. From Canva you can also share a view-only link to the design. The link that lets someone use the design as a template is on paid plans. For information that changes, send the guide link: it opens on the phone and stays up to date.
